Our Commitment
Hakuhana Limited takes the protection of personal data seriously. We are committed to handling all data protection complaints fairly, transparently and promptly in accordance with UK GDPR and the Data (Use and Access) Act 2025.
This procedure applies to workers, clients, suppliers and any individual whose personal data we process.
What is a Data Protection Complaint?
A data protection complaint is any concern raised by an individual about how Hakuhana Limited has collected, used, stored, shared or handled their personal data. This includes concerns about:
- How your personal data has been used or shared
- A request for access to your personal data that has not been fulfilled
- Personal data that you believe is inaccurate or incomplete
- Personal data that you believe has been held longer than necessary
- A potential data breach involving your personal data
- Any other concern about how we handle your information
How to Raise a Complaint

Please include in your complaint:
- Your full name and contact details
- A clear description of your concern
- The date(s) of any relevant events
- What outcome you are seeking
How We Will Handle Your Complaint
01 Acknowledgement — within 30 days
We will acknowledge receipt of your complaint in writing within 30 days of receiving it.
02 Investigation
We will investigate your complaint fully and fairly, reviewing all relevant records and processes.
03 Full Response — without undue delay
We will provide a full written response explaining our findings and any action taken.
04 Resolution
Where we have made an error we will correct it promptly and explain the steps taken to prevent recurrence.
If You Are Not Satisfied
If you are not satisfied with our response you have the right to escalate your complaint to the
Information Commissioner’s Office (ICO) — the UK’s independent data protection regulator.

Your Rights
Under UK GDPR you have the right to access your personal data, correct inaccurate data, request erasure in certain circumstances, object to processing, and data portability. To exercise any of these rights please contact us at hello@hakuhana.com.
Data Protection Officer
Hakuhana Limited does not currently meet the threshold requiring a formal Data Protection Officer. The Founder & CEO, Petrina Rose Baldwin, holds responsibility for data protection compliance within the business.
